Privacy Policy
How Parent PA handles personal information, including children’s information

Parent PA is operated by EPIC Igniter Pty Ltd (ABN 62 629 484 788) (Parent PA, we, us or our). This policy explains how we collect, hold, use and disclose personal information when you use the Parent PA website, mobile application, family inbox and related services (Services).
Parent PA is designed for adults who manage family administration. It processes information about children so that a parent or other authorised carer can organise family calendars, tasks and reminders. Children are not permitted to create Parent PA accounts.
1. Our privacy commitments
- We collect and use only the information reasonably needed to provide and improve Parent PA, keep it secure and meet legal obligations.
- We treat children’s information as deserving additional protection and design the Services with the best interests of children in mind.
- We do not sell personal information.
- We do not use family content to target advertising to children.
- We do not permit our artificial intelligence service providers to train their general-purpose models on family content submitted to Parent PA.
- Parents and authorised carers remain in control of what is shared, who can access it and whether suggested actions are accepted.
2. Who may use Parent PA
Account holders must be at least 18 years old and capable of entering a binding contract. A person who creates a child profile or supplies information about a child must be the child’s parent, legal guardian, or another person legally responsible for the child’s day-to-day care, welfare and development, or must have that person’s clear authority.
If we learn that a child has created an account or supplied information directly without the required authorisation, we may suspend the account and delete the information, subject to any legal retention requirement. Contact privacy@parentpa.com if you believe this has occurred.
3. Personal information we collect
3.1 Account and contact information
- Name, email address, telephone number, login credentials and authentication identifiers.
- Subscription, transaction and billing information. Full payment card details are generally handled by the relevant payment provider or app store rather than Parent PA.
- Support requests, feedback, survey responses and communications with us.
3.2 Family and children’s information
- A child’s name or nickname, date of birth or age, school year, school, household relationships and profile details.
- Activities, teams, classes, appointments, dates, times, locations, transport arrangements, tasks, responsibilities, reminders and attendance information.
- Information contained in school notices, sports updates, party invitations, screenshots, attachments, forwarded messages, emails and other material you submit.
- Contact details for family members, carers, coaches, teachers, health professionals, service providers and other people included in family administration.
- Health, disability, dietary, cultural, religious or other sensitive information where it appears in material you submit or is needed for a feature you choose to use.
3.3 Content and connected services
- Messages, voice inputs, recordings or transcriptions, photographs, screenshots, documents, links and attachments you provide.
- Information received through the private Parent PA family inbox.
- Calendar information and permissions, but only where you enable a calendar feature and grant the relevant access. Parent PA will access only the calendar data permitted by the integration and your selected settings.
- Information from sign-in, calendar, email or other services you choose to connect, such as Apple or Google, in accordance with the permissions you grant.
3.4 Technical and usage information
- Device type, operating system, app version, browser type, IP address, time zone, language and approximate location derived from IP address.
- Login events, feature use, interaction data, crash reports, diagnostics, security logs and performance data.
- Cookies and similar technologies used for essential functions and, where permitted and selected, analytics or marketing on our public website.
We do not seek precise location, biometric identifiers or unnecessary sensitive information. Please avoid submitting information that is not needed for family administration.
4. How we collect information
- Directly from you when you create an account, configure profiles, speak or type to Parent PA, forward messages, upload content or contact us.
- From other authorised members of your family workspace, including Managers and Supporters.
- From services you choose to connect and from senders who email the private family inbox.
- Automatically through the website, app, device and security systems.
- From service providers that help us authenticate users, process payments, provide support, detect fraud or operate the Services.
5. Why we use personal information
- Provide the Services, including extracting dates, tasks and other details from submitted material; matching information to the relevant child; identifying gaps or conflicts; creating calendar entries, tasks and reminders; and answering user questions.
- Set up and administer family workspaces, permissions, invitations and connected services.
- Authenticate users, protect accounts, prevent fraud and abuse, troubleshoot faults and maintain service reliability.
- Provide support, send operational notices and respond to privacy requests or complaints.
- Process subscriptions and payments and maintain financial and business records.
- Analyse de-identified or aggregated service performance, improve usability and develop features.
- Send marketing to adult users where permitted. You can opt out at any time. We do not use children’s information for direct marketing.
- Comply with law, enforce our Terms of Use and protect the rights, safety and security of users, children, Parent PA and others.
Where consent is required, including for sensitive information or certain overseas disclosures, we will seek it in a clear and specific way. You may withdraw consent, although some features may then stop working.
6. Artificial intelligence and automated processing
Parent PA uses artificial intelligence and rules-based systems to read submitted material, extract information, classify it, match it to profiles, identify missing or conflicting details and suggest or create actions according to your settings. These systems may process personal and sensitive information contained in family content.
AI output can be wrong, incomplete or misclassified. Parent PA is designed to keep an adult in control. It does not make decisions that determine a child’s legal rights, eligibility for essential services, healthcare, education or safety. You should review important dates, locations, health details and other consequential information against the original source.
We may use de-identified or aggregated usage information to improve the Services. We will not use identifiable family content to train general-purpose AI models unless we first provide a separate explanation and obtain any consent required by law.
7. When we disclose personal information
We may disclose personal information only as reasonably necessary to:
- Other people in your family workspace, according to the role and permissions selected by a Manager. A Supporter should only see items assigned or otherwise made available to them.
- Cloud hosting, database, security, authentication, communications, customer support, analytics, payment and AI processing providers that act for us under contractual controls.
- Connected services you direct us to use, such as a calendar provider, email provider or app store.
- Professional advisers, insurers, auditors and prospective buyers or investors where confidentiality and lawful handling protections apply.
- Courts, regulators, law enforcement or other parties where required or authorised by law, or where reasonably necessary to protect a person from a serious threat or protect legal rights.
We do not make family workspace content public. We do not sell or rent personal information.
8. Overseas storage and disclosure
When we share personal information, it may be transferred to and processed in countries other than the country you live in, such as Australia, New Zealand and the United States, due to the location of our teams and data hosting locations. These countries may have laws different to the ones that apply in your country. Rest assured, when we transfer personal information to another country, we put safeguards in place to protect your personal information.
9. Family sharing and other people’s information
A Manager controls invitations and permissions within a family workspace. You must invite only people who are entitled to receive the relevant information and remove access when it is no longer appropriate. Do not use Parent PA to obtain information about another person unlawfully, monitor them covertly or interfere with parenting, guardianship or court arrangements.
If you submit information about another adult or child, you must have a lawful basis and any permission required to do so. Where reasonable, tell that person that their information is being handled through Parent PA. A request by one family member to access or delete shared information may affect others; we will assess such requests carefully and may need to verify authority or preserve information required by law.
10. How long we keep information
We keep your personal information for as long as you have an account with us, and for a period afterwards where we have an ongoing business or legal need to keep it, for example to meet legal, tax or accounting requirements. After that, we delete it or de-identify it. Deletion from backups may occur on a delayed cycle.
11. Security and data breaches
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold. No service can guarantee absolute security.
You must protect your login details, secure your devices, use appropriate sharing permissions and tell us promptly at security@parentpa.com if you suspect unauthorised access. If an eligible data breach occurs, we will investigate and notify affected individuals and the Office of the Australian Information Commissioner where required by law.
12. Your choices and privacy rights
It’s your personal information and you have rights relating to it. You can ask us to stop sending marketing at any time. Follow the unsubscribe link in the message or contact us using the details in section 17. Operational and security messages may still be sent.
- Access and correction: view or update information in the app where available, or contact us to request access or correction.
- Deletion: delete individual items or request deletion of an account, child profile or personal information, subject to identity, authority, shared-record and legal retention checks.
- Permissions: change device, calendar and connected-service permissions through the app, device or provider settings.
- Family access: Managers can change or remove workspace members and assignments. Supporters may reject assigned tasks and can request correction or removal of information about themselves.
- Consent: withdraw a consent where processing relies on consent. Withdrawal does not affect earlier lawful processing.
- Complaint: contact us using the process below. You may also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
We may need to verify your identity and authority before acting on a request. We will respond within the period required by law and explain any refusal.
13. Children’s privacy
Parent PA is intended for use by adults, but its core purpose involves information about children. We apply additional protections to that information, including privacy-protective defaults, data minimisation, restricted sharing, clear parental controls and deletion pathways. We do not knowingly allow children to open accounts, receive behavioural advertising or have their information sold.
The adult providing the information must have parental responsibility or proper authority. Where the law requires a child’s consent or assent, an age-appropriate notice, renewed consent, or additional verification of parental responsibility, we will implement that process before the relevant collection, use or disclosure.
14. Cookies and analytics
We use strictly necessary technologies to operate, authenticate and secure the Services. With any consent required by law, we may use limited analytics to understand performance and improve the adult user experience. We do not use family workspace content for advertising and do not use cross-site behavioural advertising directed at children. A separate cookie notice or settings tool may provide more detail for the public website.
15. Third-party services and links
The Services may connect to or link to third-party services. Those providers handle information under their own terms and privacy policies. Review their permissions and policies before connecting them. Parent PA is not responsible for a third party’s independent handling of information, but remains responsible where applicable law makes us accountable for an overseas recipient or service provider acting on our behalf.
16. Changes to this policy
We may update this policy to reflect changes to the Services, law or our practices. We will post the updated policy and change the effective date. If a change is material, we will provide reasonable advance notice and seek fresh consent where required. We will not materially expand how we use children’s or sensitive information merely by relying on continued use of the Services.
